Player Issues and Policies

Every team at some point will have an issue, you are not alone!  Below are different policies that will address the most common issues that managers will deal with on their team that require Club involvement. 

 

Releases:

Every team will deal with a release situation at some point.  There are many issues that can arise with a release so it is very important to understand what is involved, how they work, and who to contact.

Competitive Releases:

Competitive players sign a year-long contract.  NEOFC's (as well as most clubs) runs from day the contract is signed (which is defined as any day of Signing Day or after) and Tryouts the following year.  If a player wishes to leave, they must go through the official release process.  Players are not allowed to play with another USYS team without an official release, this includes state tournaments.  This does not include tournaments. Here are the details and the fees involved:

- Family must first speak with the coach and manager

- The family must obtain a release form (either from you or the NEOFC Registrar) and have the coach sign it.  If the coach refuses to sign it (basically not agreeing to the release), the family will turn it in without it.  But they must have tried to get the signature.

- The manager will turn the release form into the club Registrar, Angela Force, it will be forwarded onto the NEOFC Board (making sure to note the reasons for the release request)

- The Board's decision can take anywhere from 2-4 weeks for a ruling on the release.

- The family, coach, and manager will be told of the decision and if it's agreed to release, the family will have to pay the release fees.  Currently release fees are an administrative release of $150.00 AND 35% of dues that are owed for the year.  For example:  A player wants to leave in December and they are current on dues through December.  That leaves 5 months of dues at $75.00 a month left to pay (Jan. - May) plus the $150.00 administrative release fee totaling $251.25.  As you can see, this is a costly process. 

*Just a FYI - once we get to March of a competitive year, it does not make sense to go through a release process if the player is done playing.  They will still be responsible for their monthly dues, but the release fees would be more than just paying their dues out for the year.  This does not apply  if the player is wanting to move to another club, they will have to get the release and pay the fees.

* Please take note of the policy. The release fees are based upon the release date, not the date they informed you of their decision. Please inform your families of this so they understand the importance of getting the form filed with the Club.

- Only at this point of an actual official release am I allowed to stop any online payments and release the player off the team's official roster.

 

* Note - Just because they are willing to pay the release fees or pay their dues out for the year does not guarantee their release will be approved. Many factors go into a release including but not limited to...the family's status with the club, team roster size, team dynamics, etc. Completed form and paid fees should not be seen as a done deal!

 

What if a player does not go through the official release process but quits paying monthly dues?

 - Dues will still incur

- They will be flagged as non-paying in GotSoccer

- They will not be able to sign with NEOFC or any other team until they get current with NEOFC.

 

Academy Releases:

- Family must first speak with the coach and manager

- The family must obtain a release form you to fill out and have the coach sign it. If the coach refuses to sign it (basically not agreeing to the release), the family will turn it in without it. But they must have tried to get the signature.

- The manager will turn the release form into the club Registrar, Angela Force, it will be forwarded onto the NEOFC Board (making sure to note the reasons for the release request)

- The Board's decision can take anywhere from 2-4 weeks for a ruling on the release.

- The family, coach, and manager will be told of the decision and if it's agreed to release, the family will have to pay the release fees.  Currently Academy release fees are different from Competitive since so much of the program fee is paid upfront.  Here's how it works:

- Full refund minus a $20.00 processing fee if release is granted before August 1st (Fall season) or January 1st (Spring season).

- 75% refund if the release is granted after August 1st (Fall season) or January 1st (Spring season)

- 40% refund if the release is granted after September 15th (Fall season) or February 15th (Spring season)

- No refunds after October 1st (Fall season) or March 1st (Spring season).  These are the months the second payments are due, so there are no refunds at this point.

Injured Player Policy:

A player suffering a long-term injury has the option of applying for approval onto the "Injured Player Club Dues Program".  The player must meet the criteria below and email the completed form with Physician signature along with proof of injury to the NEOFC Registrar, Angela Force, at contactneofc@gmail.com.  The program consists of the following:

Criteria -

  1. A description of the player's injury and recovery period must be presented to the club in writing.
  2. The form presenting the information must have been written and approved by a Physician. NEOFC Injured Player Form
  3. The injury must exceed 90 days.
  4. Once the players is released to return to any kind of activity with his or her team, the payment plan will be removed and the player will return to the original financial agreement terms.
  5. The player will be required to provide proof of his/her medical release to the club prior to returning to any kind of activity with his/her team.

Program Financial Specifications -

  1. If the injury exceeds 90 days, the player will be responsible for $20 per month during the months of inactivity.
  2. If the injury exceeds 180 days, the player will not be responsible for any amount of money during the months of inactivity.
  3. The player will remain on the roster in both cases.

* Please take note of the policy. Dues are suspended upon the date the form is filed, not the date they informed you of the injury. Please inform your families of this so they understand the importance of getting the form filed with the Club.

 

Secondary Insurance through US Club:

US Club secondary insurance is available to any current registered NEOFC player that is injured during sponsored, supervised activities.  There is a $500.00 deductible that will apply.
